Gower Retreats – Accommodation Terms & Conditions
1. Gower Retreats Accommodation
Reservations for accommodation are accepted by Gower Retreats Ltd (trading as Gower Retreats).
2. The Agreement
The contract for accommodation is between the guest (you) and Gower Retreats Ltd (the owner / we / us). A binding contract is formed once a deposit has been paid and written confirmation of the booking has been issued. The lead guest must be aged 18 or over at the time of booking.
We strongly recommend that guests obtain appropriate travel insurance prior to booking to cover unforeseen circumstances such as adverse weather, transport disruption, illness, or bereavement.
3. Booking Responsibility
The guest making the booking accepts these Terms & Conditions on behalf of all members of the party and is responsible for ensuring that all guests are aware of them. We reserve the right to refuse a booking or deny access to any person who has not complied with these Terms & Conditions.
4. Payment Terms
For bookings made more than six (6) weeks prior to arrival, a deposit of 25% of the total booking value is required. The remaining balance is due six (6) weeks before the arrival date.
For bookings made within six (6) weeks of arrival, full payment is required at the time of booking.
Payment reminders may be sent by email; however, delivery cannot be guaranteed. Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of the deposit.
5. Cleaning & Care of the Property
Guests are expected to leave the accommodation in a clean and tidy condition. If excessive cleaning is required, an additional cleaning charge may be applied.
Please note that UK self-catering accommodation operates differently from hotels; guests are expected to leave the property broadly as they found it (reasonable wear and tear excepted).
6. Occupancy Limits
Only the guest and the individuals listed on the booking may occupy the accommodation. The correct number of guests must be declared at the time of booking, and any changes must be notified in advance.
The maximum occupancy stated on the website must not be exceeded without prior written consent. Additional charges may apply if guest numbers differ from those booked.
7. Arrival & Departure
Accommodation is available from 4:00pm on the day of arrival and must be vacated by 10:00am on the day of departure, unless otherwise agreed.
8. Cancellations & Amendments by the Guest
Once a booking is confirmed, it constitutes a legally binding contract. In the event of cancellation for any reason, the deposit is non-refundable. If cancellation occurs within six (6) weeks of arrival, the full balance is non-refundable.
Cancellations must be made in writing (including email). Where possible, we may attempt to re-let the accommodation and, at our discretion, allow a date or accommodation transfer subject to a £20 administration fee plus any re-letting costs incurred.
We strongly recommend that guests take out cancellation insurance.
9. Dogs
Dogs are only permitted where agreed at the time of booking and may incur an additional charge. Dogs must be well-behaved, not left unattended, and kept off furniture unless otherwise stated.
Outdoor areas are not guaranteed to be secure. Dogs must be kept under control at all times while on the property.
10. Guest Responsibilities
Guests are responsible at all times for the supervision of children, pets, and any individuals requiring care.
Guests must not cause nuisance or disturbance to neighbouring properties and must respect the peaceful nature of the retreat.
Any damage or loss must be reported promptly. Guests may be charged for repairs or replacements beyond reasonable wear and tear.
11. Right to Terminate Stay
We reserve the right to terminate a stay without refund if, in our opinion, a guest’s behaviour is unreasonable, unsafe, or causes damage or disturbance. In such cases, the guest remains liable for the full cost of the booking.
12. Access & Maintenance
Guests must allow reasonable access to the accommodation for maintenance or inspection, provided reasonable notice is given.
13. Security Deposit
We reserve the right to request or charge a security deposit to cover potential damage or excessive cleaning.
14. Rural Setting & Wildlife
Gower Retreats is located in a rural environment. Guests should expect occasional wildlife, including insects or small animals. This is a natural part of the setting and does not constitute grounds for complaint.
15. Complaints Procedure
Any issues must be reported to us during your stay so that we have the opportunity to resolve them. Complaints raised after departure cannot be accepted.
Property descriptions and photographs are provided in good faith but may vary slightly over time.
16. Liability
We accept no responsibility for loss, damage, or inconvenience caused by factors outside our control, including adverse weather or service interruptions.
Personal belongings, vehicles, pets, and their contents remain the responsibility of the guest. Our maximum liability shall not exceed the total cost of the accommodation booked.
17. Cancellation by Gower Retreats
We reserve the right to cancel a booking if the accommodation becomes unavailable due to circumstances beyond our control (e.g. fire, flood). In such cases, a full refund will be issued, and no further liability will be accepted.
18. No Smoking
All accommodation and indoor areas operate a strict no smoking policy.
19. Force Majeure
We shall not be liable for cancellations, delays, or alterations caused by events beyond our control, including extreme weather, government restrictions, or other force majeure events.
20. Governing Law
This agreement is governed by the laws of England and Wales, and any disputes shall be heard in the courts nearest to the owner’s registered premises.
